August 2026 – Licences with consequences, your own sending routes, Google Workspace and faster reports

Overview of the most important changes delivered in August 2026.

New

  • Synchronising users from Google Workspace. Creating and updating employees automatically was only possible from Microsoft Entra and now also works from Google Workspace. You record a connection at the organisation and choose the source in a synchronisation schedule; everything else works the same, including creating missing departments, nested groups and deactivating anyone who is no longer in the group.   • Choosing the route your email leaves by. Besides sending through 2LRN4, you can now use your own Microsoft mailbox, your own Google Workspace mailbox or your own mail server. Passwords and keys are stored encrypted and are no longer shown after saving, and the Send a test message button lets you check the setting without any learner receiving anything. If sending through your own route fails once, the message still goes out through 2LRN4 with your address as the reply address, and you see that on the organisation screen.   • An expired licence now has consequences, with notice beforehand. On the end date the accounts of the organisation are deactivated, while the contacts keep access to the reports and the certificates. Thirty days later the data is deleted, with a warning seven days in advance, and a renewal reverses everything automatically. You record a contact per organisation, including that of a reseller; they receive the messages and afterwards a deletion statement as a PDF for your own GDPR records.
  • Reports as Excel. Next to Download CSV there is a Download Excel button on every report, with counts as numbers so sorting and totalling work straight away. The file name now refers to the report with the date after it, including the attachment of a scheduled report.
  • The completion date appears in four reports. Score per user per course, Percentage completed per user per course, Progress per user and Progress per manager per user now show when a course was completed, both on screen and in the export. For a course still in progress the cell stays empty.
  • Report Course planning per user. The reports only showed existing enrolments, so you could not see what drip enrollment will release over the coming months. This report calculates that ahead and shows per employee per course whether it is completed, enrolled, scheduled with a date, waiting for onboarding or not planned.
  • Two-factor authentication per organisation. New password accounts have the option switched on in advance, and one button turns two-factor authentication on for all existing password accounts. Anyone signing in through Microsoft or Google keeps the security of their own environment. If someone loses their authenticator, an administrator now clears it on that user's edit screen.
  • Letting a course be taken again. Progress returns to zero, including progress inside a module and the points, and a certificate is withdrawn. The enrolment stays in place, so the learner can start immediately. For a course with hundreds of participants you reset everyone matching your search in one action, with the screen stating beforehand how many people it concerns and afterwards how many were actually reset.
  • Completing end dates in bulk. On the screen with enrolled learners you filter on incomplete dates, tick several learners and fill in an end date in one go, only where it is missing. The start date is left untouched and no email goes out, because this is a correction and not a new enrolment.
  • Letting all departments follow the organisation curriculum. If a department was ever given its own course offering, a central curriculum does not apply to that department, which shows up mostly in drip enrollment. The new button lets all departments follow the organisation curriculum and shows in advance how many departments are involved. Enrolments and progress stay unchanged and no email goes out.
  • Start date and sending time for drip enrollment. A start date lets you decide when the flow begins, instead of at the next nightly run. You also set a sending time per organisation, ten in the morning by default, so email arrives during the day rather than in the middle of the night.
  • Insight into employees without a department. If the course offering sits with departments, someone without a department receives nothing while still occupying a licence seat. The licence overview therefore shows a Without department column, the user overview has a filter for it, and per synchronisation schedule you choose a fallback department. Employees without a department now also follow the organisation curriculum.
  • Managing levels yourself. Levels determine the order in which courses within a category open up. There were three of them and they were fixed. You can now add, rename and delete them, so a fourth, fifth and sixth year can be staged the same way. A level attached to courses cannot be deleted by accident.
  • A connection with your own learning environment. If you offer our courses in Moodle, Canvas or another learning environment, you now set up that connection yourself from the administration. You see which connections exist, which organisation and course they belong to and when someone last came in through them. A connection that learners have already used is switched off rather than thrown away, so the history and the outstanding grades are kept. Read more about the LTI integration.
  • Languages per SCORM package in one overview. Behind the Languages button you see which languages a package has, what they are called, what kind of content it is and whether the file is actually in storage. Previously you had to open the edit screen for every language.

Improved

  • Email from the platform comes from a new sender address. Messages now leave from noreply@portal.2lrn4.com instead of noreply@2lrn4.com. If the old address is on a list of trusted senders at your organisation, have the new one added there. Sending runs through a European provider with a sending domain inside the EU, and for a large enrolment the platform now sends the messages evenly instead of all at once, because such a peak triggers temporary blocks at the receiving party. The content of the messages has not changed and resetting a password works immediately.
  • The sign-in screen follows your language and works with your password manager. The screens were always in English and now follow the language of your browser. The fields have a label above the input box, the cursor is in the right place straight away, and on the second step you see which account you are working with. The block on autofill is gone, so your password manager fills in the password and the authenticator code.
  • Reports appear on screen immediately. For the larger reports a message first appeared saying the report was being built. That is no longer needed, because the screen only retrieves the rows you are looking at. In our measurement Progress per user went from almost six seconds to one and a half, and Enrolment dates per user from two seconds to a tenth of a second. Sorting, searching, filtering and downloading work unchanged and the figures are the same.
  • The organisation settings screen has been rearranged. Twelve blocks that had grown over the years are now grouped by what they are about: Organisation, Access and security, Learning programme, Messages and sending, and Display. The settings for who sends email, from which address and which messages go out were in three separate places and now sit together. No setting has been added or removed and nothing works differently.
  • You set your own sender address and sender name yourself. The address replies arrive at and the name the recipient sees could only be changed through us. An administrator of the environment now does that without our help.
  • The Customer role is now called Admin. That is the administrator of your organisation and the name is easier to recognise. Nothing changes about what the role may do. If you have a work instruction mentioning Customer, you can update it at the same time; the guide to authorisations has been updated.
  • A licence seat is released as soon as someone leaves. Accounts deactivated by the connection with Microsoft or Google still counted when adding a new employee, so some organisations could not add anyone while there was still room. Only active accounts count now, so the number of occupied seats may be lower than you are used to.
  • The automatic messages have been reviewed for language and tone. Forty-three texts in German, French, Spanish, Portuguese and Italian have been corrected; in German and Spanish, for instance, the reminder said a course was almost finished while it was in fact about to expire, and in several languages the course name was not filled in at all. In the overview of email types, one line under each type now says when that message is sent.
  • A lighter text editor on the edit screens. Courses, activities, badges, categories, certificates, quizzes, email templates and blog posts use a new text editor, which makes the administration screens load almost a megabyte less. Existing content is unchanged and was checked in advance, including the tables and images in email templates.
  • Deleting really clears up, and warns in time. A category with courses in it can no longer be deleted; previously the category disappeared without warning and the courses were left without an owner, after which they could not be found on any screen. The same now applies to a department or an environment with content attached, and deleting an organisation takes everything with it in one go.
  • Security tightened further. Course material inside a module is only reachable for someone who is signed in and enrolled in the course. Every night we keep a full, encrypted copy of the database off the server, which cannot be changed by anyone for seven days, and versioning is on for the storage so a wrong deletion can be recovered up to thirty days back. The external libraries the platform loads are pinned to a fixed version.
  • The platform runs on a new, more powerful environment in a German data centre. The move took about three quarters of an hour, during which you saw a maintenance page. All progress, courses and settings came across one to one and nothing was lost. The security certificate is now renewed automatically.

Fixed

  • Emails arrived with formatting characters in the text. Every message contained a hash where a heading belongs, asterisks around bold words and dashes in front of list items. Headings are headings again and lists are lists. The messages therefore look different from what you are used to; the content is unchanged.
  • Reminders also went to learners who had already finished. Anyone who had completed a module still received a reminder five days before the end date. In the measured window of 9 August this concerned well over half of the messages sent. The platform now checks whether the course and the module are genuinely still open.
  • Courses without a period were invisible to learners. If you left the period empty, the course was active for the administrator but no learner could see it. An empty period now means there is no limit. This affected 53 learners at six organisations, who can now see what was already waiting for them. The cause lay in copying courses to another organisation, where the period was lost; it now comes along.
  • Editing a test showed empty checkboxes. All questions appeared to be inactive and no correct answer seemed to be marked anywhere. Anyone who saved the screen actually set the test to inactive and wiped which answers were correct. The screen shows the settings again and saving changes nothing you did not touch yourself. On a second attempt a learner could also not select some answers; that has been fixed as well.
  • Enrolments without an end date fell outside the reports. The filter with All, Active and Inactive enrolments left enrolments without an end date out on both sides, so two halves of the same report did not add up to the whole. This applied to all eighteen reports with that filter. Enrolments without an end date now get one, ten years ahead, and for 84 enrolments of 56 learners that date has been filled in, without any enrolment or removal and without an email about it.
  • The category page was empty. Clicking a category from the overview showed no description, no video and no courses. This had been the case since early March. The page shows everything again, and the courses appear in a row you page through with arrows.
  • Starting a course item took two clicks. The first click did nothing, because the button and the link around it were in each other's way. One click is now enough and the buttons also work with the keyboard. Anyone viewing an item full screen also missed the control bar and the subtitles; the display now uses the browser's own full-screen function, so Escape simply brings you back.
  • Notifications could not be dismissed, and some never appeared. The cross did nothing, so a notification stayed until you moved to another page. Besides that, some notifications were composed but shown nowhere, so your screen returned as if nothing had happened. That affected the test message at an organisation, a failed user import and the confirmation when cancelling or reactivating a licence.
  • The contact form under Support returned an error. Anyone submitting a question got an error page and the message did not arrive. This affected users whose organisation has no support address of its own. The form sends again and an answer arrives in the same place as before.
  • With a series of messages in quick succession, a single email could be left behind. When many announcements went out at once, for instance at the start of a course for a whole department, the connection with the sending provider could expire between two messages, after which the next message failed without anyone noticing. The connection is now checked for every message and re-established if necessary.
  • Synchronisation skipped people with a nested group. If an Entra group contained another group, processing failed on it and the other employees from the same run were skipped too, so new employees sometimes did not appear and departed employees were not deactivated. Such a group is now skipped without the rest of the run being left behind. Manual importing has been adjusted as well, because with an empty group field it retrieved all accounts of the organisation, including system accounts that then occupied licence seats. You now choose an existing synchronisation schedule, so a manual import does the same as the scheduled one.
  • The licence type could not be changed. After saving, the field jumped back to the old value without an error message. Your choice now stays. In the same overview, the number of remaining days was shown with decimals at a number of organisations, caused by a time zone recorded as a fixed offset, which therefore has no daylight saving. The same setting determines when a day begins for licence expiry, and that boundary now lies at midnight for every organisation.
  • Copying the content of an organisation returned an error. That happened regardless of what you had ticked. Copying works again, and content is now copied in exactly the languages the organisation uses instead of in all 27 available languages, which makes it noticeably faster.
  • The timeline of a phishing campaign had disappeared. The detail screen should show when the messages were sent, opened and clicked. That chart was retrieved from an external party, which our security settings do not allow, and it has been rebuilt with technology already present in the platform. A campaign that was created but never sent also failed to open.
  • Administrator settings could disappear on an ordinary save. The blocks for drip enrollment, two-factor authentication and single sign-on are only visible to administrators, but were written for everyone when the organisation form was saved. Anyone saving their house style could therefore switch off drip enrollment unnoticed. Those fields are now only written by someone who can also see them.
  • A number of icons stayed empty. The arrows for paging through a course or category and the copy buttons at settings showed an empty box, because the symbols were retrieved from an external party. They are now on our own server. The copy buttons at the API key also sat below the field instead of inside it; they are back in place.
