All permissions are divided across roles. Each user has exactly one role. In your environment you can assign six roles: Partner, Admin, Manager, User, Communication and Helpdesk. In addition, there is the platform management of 2LRN4 itself, which you will not see as a role in your own environment.
- Partner is a reseller that manages more than one organisation.
- Admin is the administrator of your organisation and manages users, courses, reports and the connections with Microsoft, Google or SAML.
- Manager follows progress without managing anything and can view the reports for their own department.
- User is the learner.
- Communication is meant for whoever looks after communication, with badges, blog, certificates, rewards and e-mail.
- Helpdesk supports your own employees and manages users and departments, without access to the course content.
Permissions
The permissions table shows which role has which permissions. Please note: a role applies to the whole platform. A change to a role therefore affects every user with that role, including users at other organisations. If something needs to change, please propose a new role rather than changing an existing one.

Your organisation's settings: who can do what
On the Edit company screen, your organisation's settings are grouped in cards. Not every role sees every card. An Admin edits only their own organisation, a Partner edits every organisation that falls under that partner. Settings that concern the contract, the sending of e-mail or the technical side of the platform are managed by 2LRN4. If you would like something changed there, please contact support@2lrn4.com.

If you do not see a card, your role has no permissions for it. A card that contains nothing your role can manage is not shown.
Learning programme for your organisation's administrator
The learning programme determines which courses your employees receive, in which order, and when a completion has to be repeated. By default, 2LRN4 and your partner take care of this for you. If you would like to manage it yourself as Admin, for example to give new employees earlier training as well, ask 2LRN4 or your partner to switch on the learning programme for your organisation.
Once it is switched on, you see the Learning programme card as Admin and can do the following:
- You add courses to the organisation curriculum, choose the order and mark onboarding courses. You choose from the courses that are available to your organisation.
- You set the recertification and the level margin.
- You enrol existing learners in the curriculum in one go, with or without an announcement e-mail.
- You detach departments that have their own curriculum, so that they follow the organisation curriculum.
Phased enrolment stays with 2LRN4 and your partner. The start date, the offering, the rhythm and the sending time determine when e-mails go out to all your employees. If you would like to change any of these, please contact your partner or support@2lrn4.com.
Changing roles
Roles and their permissions are managed by 2LRN4 on the roles page. Because a role applies to the whole platform, 2LRN4 does not change a role for a single organisation. That is why the learning programme for the Admin can be switched on per organisation, without changing the Admin role.
Since 5 October 2026 the roles page has two separate permissions for the organisation screen:
- Manage learning programme is switched on for Partner by default.
- Manage security is switched on for Partner and Admin by default.
The permission that used to be called Manage configs is now called Platform management (Root only). It is intended for 2LRN4's platform management and is not given to Partner or Admin.
Changes on 5 October 2026
- An Admin can now set two-step verification as the default and switch it on for all password accounts of the organisation.
- The learning programme can be switched on for the Admin per organisation.
- A Partner can now view an organisation's API key and issue a new secret.
- Switching e-learning, phishing and the API connection on or off, and copying content from another organisation, is now done by 2LRN4. These modules follow the organisation's licence.
- Settings that are hidden on screen for a role can no longer be changed by that role when saving either.
Role names changed on 14 August 2026
Since 14 August 2026, the role for your organisation's administrator is called Admin instead of Customer. Only the name changed; the permissions of the role stayed the same. If you have a manual or work instruction that still mentions Customer, you can update it straight away.
The separate Phishing role no longer exists. The phishing permissions themselves remain with Partner and Admin, as shown in the table above.
