The 2LRN4 course programme is organised in learning years. Each year contains a fixed series of courses, and a customer starts at Year 1. If you set up the learning year for a new customer, the courses are placed in the organisation curriculum in the right order straight away and the employees receive them automatically. Each time the licence is renewed, the portal then sets up the next year by itself.
Before you start
You need an account with the Partner role and the Manage learning programme permission. You can only set up a learning year for organisations in your own partner environment.
Step 1. Create the organisation
Go to Companies and click Create. Enter the name and choose the languages in which the employees will take the courses. The learning year is only set up in the languages you choose here, so check them carefully.
Step 2. Add the departments and users
Create the departments with Add Department and then add the users: manually, with an import or through a connection with Microsoft Entra, Google or SCIM. You can also do this after step 4: anyone you add once the learning year has been set up receives the courses automatically.
Hold off on the welcome email until the learning year has been set up, so that employees see their courses straight away on their first visit.
Step 3. Choose how the courses are released
On the organisation form, open the Learning programme block. Under Phased enrolment (drip), you choose whether employees receive all courses at once, or one at a time at a fixed interval, for example every month. For most customers, one course a month works best. If you choose phased enrolment, also enter the interval and the start date.
Step 4. Set up the learning year
On the organisation form, in the Learning year block, click Set up learning year. For a new customer, Year 1 is already selected; you can only ever set up the next learning year. Leave Set up learning year ticked and choose below it what else should happen:
- Switch the courses on straight away is ticked by default. If you untick it, the courses are ready but switched off, and you switch them on yourself later.
- Tick Enrol existing users straight away if you have already added the users. New users receive the curriculum automatically.
- Send these users an email determines whether the users you enrol this way receive an email. Without this tick, they will see their courses on their next visit.
Then click Run. The portal copies the courses of that learning year to the organisation, puts them in order in the organisation curriculum and records which learning year the customer is in. This happens in the background and usually takes a few minutes.
Please note: if courses are released later, for example with phased enrolment, employees receive an email at that moment saying the course is ready for them.
Step 5. Check the result
Open the Organisation curriculum (order and onboarding) block. It lists the courses of the learning year in the order in which they are released. Learning year on the organisation form now shows the year you chose. Finally, open a user and check that they are enrolled in the first course.
A customer who already has the courses
If a customer was already using 2LRN4 before learning years existed, choose Register only in step 4. The portal then copies nothing and only records which learning year the customer is in, so that the right next year is set up at the next renewal. This is possible as long as no learning year has been recorded yet.
What you do not do yourself
Rolling back a learning year, skipping a year or moving a customer to another partner environment is done by 2LRN4. To arrange this, email support@2lrn4.com with the name of the organisation and what you want to change.
