Link documents via SharePoint

The SharePoint integration allows you to reuse documents that are already available within your organization in 2LRN4. This prevents duplicate management and ensures documents always remain up to date.

What can you link?

  • Policy documents (e.g. information security or privacy)
  • Guidelines and work instructions
  • Manuals and reference documentation

Link a document

  1. Open the required document in SharePoint.
  2. Select Copy link.
  3. Go to the relevant course or activity in 2LRN4.
  4. Add a new activity or edit an existing one.
  5. Paste the SharePoint link in the external content field.
  6. Save the activity.

Access and permissions

Access to the document is fully determined by SharePoint permissions. Users without access will not be able to view the document or will receive an error message. Always verify that the correct groups have access.

Best practices

  • Prefer read-only access for employees.
  • Use fixed SharePoint locations for policies and guidelines.
  • Test the link with a non-administrator user.
