Assign courses to users

You can create different learning paths per department and per user. In other words: you can assign different courses to different departments and/or users. Below is a practical step-by-step guide.

Activate the course

  • Go to Manage courses in the menu.
  • Click Edit for the course you want to assign.

Configure at least the following:

  • Set a start date (when the course becomes active). Users may receive the Course start date email at that date/time.
  • Optional: set an end date.
  • Enable Is active.
  • Optionally enable notifications (in-platform) and/or email notifications (for this course).

Note: when editing texts: update English first, then the other languages.

Activate activities/modules

Check whether activities (modules) are linked to the course and whether they are active. If not, link or activate them. For example:

  • E-learning and video modules
  • YouTube/Vimeo
  • Quizzes/surveys
  • PDF
  • SharePoint and Drive documents

Assign a department to a course

Tip: if not all departments should have access, add only the allowed departments to the category. See also Managing departments.

Limit access by linking departments to a category

  1. Go to Manage categories.
  2. Edit the category you want.
  3. Add the relevant departments under Departments and save.

Enroll departments in a course (automatic enrollment)

  • Enable Enable automated enrollment and click Save.
  • Optional: set how long the course remains active for new users added to the group later (Enroll period (days)).
  • Click Enroll groups (visible after automated enrollment is enabled).
  • Click Enroll groups again to open the window.

In the window:

  • Click in the empty field under Groups (if nothing appears, import departments/groups first).
  • Add the departments/groups.
  • Set the start and end dates (can be adjusted later).
  • Click Save.

Assign a user to a course

This works almost the same as enrolling departments/groups:

  • Click Enroll users.
  • Click Enroll users again to open the window.

In the window:

  • Click in the empty field under Users (if nothing appears, import users first).
  • Add the users.
  • Set the start and end dates (can be adjusted later).
  • Click Save.
